Best Booking Software for UK Plumbers [2026]
What booking software should actually do for a plumbing business, the questions to ask before you sign up, and an honest look at where each option fits.

The best booking software for a UK plumber is the one that catches the enquiry you miss while you are under a sink. That is the whole game. Diaries, invoices and reminders all matter, but a plumbing business lives and dies on what happens in the first few minutes after a customer reaches out, because a burst pipe does not wait for you to call back.
So before comparing logos, get clear on what the software is actually for.
What should booking software do for a plumbing business?
Plumbing has a shape that generic booking tools often miss. The essentials:
- Capture the enquiry when you cannot answer. Most plumbing enquiries arrive while you are on a job. If the customer's call or message dies in a voicemail, they ring the next name on the list. The software's first job is making sure that enquiry lands somewhere, gets an instant acknowledgement, and turns into a booking.
- Handle emergencies differently from planned work. A leak tonight and a bathroom refit in September should not sit in the same queue. Look for a way to separate urgent call-outs from scheduled jobs.
- Take deposits on bigger jobs. Bathrooms, heating systems, anything with serious materials cost. Card deposits at booking cut no-shows and protect your cash flow. We wrote up the wording and the law in how to take a deposit before a job.
- Service reminders. Annual boiler servicing is the closest thing plumbing has to recurring revenue. Software that remembers each customer's service date and prompts the rebooking earns its fee on that alone.
- Let customers book without a phone call. A booking page that shows real availability turns your quietest admin hours into working ones.
If a tool cannot do most of that list, it is a calendar, not a booking system.
What do the main options cost?
Prices in this market move, and most of the well-known names (Tradify, ServiceM8, Jobber, Commusoft and friends) price per user per month, which reads cheap for a solo plumber and grows as you add hands. Rather than repeat numbers that may be stale by the time you read this, we keep a full, honest breakdown in how much trades management software costs in the UK, including our own prices, published in plain sight.
The number on the pricing page is not the real cost anyway. The real cost is the software you pay for and never log into, the setup that eats your evenings for a month, and the percentage some platforms take from your payments. Which brings us to the questions that matter.
What should you ask before signing up?
Five questions sort the whole market:
- Who does the setup? "Easy to set up yourself" means your weekend. If nobody builds it with you, be honest about whether you will finish the job.
- Does the price grow with your team? Per-user pricing looks small until you hire. Check what three users costs, not one.
- Do they take a cut of your payments? Some platforms add their own percentage on top of card processing fees. Over a year of plumbing invoices, that is real money.
- Can you leave? Ask how you export your customers and job history. If the answer is vague, so is your ownership of your own business.
- Does it help you get booked, or just help you record bookings? A diary describes your week. A booking system fills it.
The same logic applies across trades. Our full comparison of booking and management software for UK trades walks through the market in more depth, and electricians can read the trade-specific version.
Where OptiTech Automation fits
OptiTech Automation is built for exactly the plumber described above: the owner on the tools who loses enquiries to voicemail. Enquiries are captured and answered around the clock, customers book against your real availability, deposits are taken by card, and we charge 0% commission on payments, so you keep 100% of what you earn. There is no per-user maths to do either, and you can check every price on the pricing page.
Setup is not homework we leave you. We build it with you on a Build Day, and if you are not live within a working day, the onboarding is free. The first twenty founding businesses also get the setup fee waived and 15% off the monthly price for life.
Where we are the wrong choice, said plainly: if you want built-in accounting, payroll or CIS handling inside the same tool, that is not what we do, and an established per-user platform paired with your accountant's software will suit you better. And if you are a one-person band with a full diary and no missed calls, keep your money.
The honest bottom line
There is no universal "best". There is the best fit for how your plumbing business actually loses money. If it loses money on admin, buy the tidiest job manager you can afford. If it loses money on missed enquiries, no-shows and unpaid invoices, buy the system that fixes the front door first. Work out which leak you have, then buy the fix for that one.
