For Property Maintenance · UK · operator-led

Built for the realities of Property Maintenance.

Reactive jobs from agents, a portfolio of properties and a team of mixed trades. One diary, dispatch by qualification, and the awkward jobs stop sitting.

The three things that make this different

  • The deposit goes into your own Stripe account at the moment of booking. We never hold your money. (Terms 2.3)
  • One flat monthly price for your Stage, and hiring inside your Stage does not move the bill. No per-lead fee, and no commission on your customers' payments. (Terms Schedule 2)
  • Leave on 30 days' notice with no exit fee, and take a full export of your data as CSV files from your own settings page, any time. (Terms 11.1 and 11.3)
  • ✓ Agents raise jobs on your page
  • ✓ Multi-trade dispatch by qualification
  • ✓ Fair distribution across the team
  • ✓ Full history per property

We do not generate compliance certificates. Your Gas Safe registered engineer or your qualified electrician issues the CP12, the EICR or the minor works certificate exactly as they do now, and what we keep is the document, the job record and the renewal date.

  • Start-up is £199 a month, covering up to five on the tools.
  • The one-off Onboarding Investment on Start-up is £129. The first ten firms pay no Onboarding Investment, on any Stage.
  • Your card is authorised when you confirm your setup. Nothing is charged until you are live, after our review.

A portfolio, not a customer list

Property maintenance is the only trade on this site where the customer and the place are usually different things. A managing agent instructs the work, a landlord pays for it, a tenant is standing in the kitchen when your engineer arrives, and the flat itself has a history that outlasts all three. Most job systems were built for a customer with an address, not an address with a history.

Jobs, photographs, notes and signatures are held against the customer and the job, so a block or a portfolio builds its own record over time. When an agent asks what was done to flat nine last spring, that is a search rather than an afternoon in an inbox.

On compliance, the same honest line as everywhere on this site. Your qualified people issue certificates exactly as they always have. OptiTech Automation keeps the dates and the records on file, so a gas safety anniversary on a managed property sits on the record rather than in someone’s memory.

Cherry picking, and the job that sits

Ask a maintenance owner what actually goes wrong and this is usually the answer. The straightforward jobs get claimed quickly and the awkward ones sit: the one four floors up with no parking, the one where the tenant is difficult, the one that is twenty minutes of work and an hour of travel. Nobody refuses them. They just never get picked.

Work is distributed across the team rather than claimed by whoever is quickest to say yes, and you keep the final say on every assignment. The awkward job gets allocated like any other, and the pattern is visible to everyone, which is what stops the argument before it starts.

This is usually the reason a maintenance firm buys, so it is the first thing worth looking at in a demo. If it does not change your week, nothing else on this page will either.

The seven in the morning agent call

Reactive maintenance arrives on somebody else’s timetable. An agent has a tenant without hot water, and the message lands the moment their office opens. From that call to a confirmed engineer, a confirmed time and a raised job is usually four exchanges and half a morning.

With a booking page, the agent raises the job when it crosses their desk. It arrives with the property attached, a real slot chosen and the job number generated, and it reaches the right engineer directly. You stop being the switchboard between the agent and your own team.

Contract customers can be set to no deposit, which matters here more than in most trades: an agent on account terms is not going to pay a card deposit on a leaking tap, and they should not have to.

Many trades, one team

A maintenance firm is several trades wearing one shirt. Someone is gas qualified, someone else is the electrician, one person is genuinely good at everything and is therefore always busy. Sending the wrong person is inefficient. On gas and electrical work it is a liability.

You set who is qualified for what once, and jobs are only offered to the people who can actually do them. A gas job never lands with someone who cannot legally touch it, and there is no apologetic phone call to the agent afterwards.

It also protects the people coming up. An improver who only ever receives the jobs they are qualified for builds a clean record of them, and when a ticket comes through you update their profile and their work changes the same day.

One flat price

OptiTech Automation starts at £199 a month plus a one-off £129 on the Start-up Stage, covering up to five workers. Standard is £599 a month plus a one-off £249 for up to fifteen, and Growth is £1,749 a month plus a one-off £999 for up to thirty. Flat within your stage: not per user, not per lead, not per property.

There is no contract. Cancel any month with 30 days notice and take your data with you as CSV. If the numbers do not work for your business, the honest answer is to leave, and the platform makes that easy on purpose.

Who this is not for

An honest note. If you are a handyman working alone with a regular round of landlords who ring you directly, this is more system than the week needs. The bill is carried by jobs that stop sitting, agents who book themselves in and a history you no longer keep in your head.

It is also not a property management platform. Rent, tenancies, arrears and compliance registers for a portfolio you manage belong in the agent system, not here. OptiTech Automation is for the maintenance contractor those agents instruct: two vans and up, with mixed trades and reactive work.

Straight answers for Property Maintenance

Yes. You set which of your people can do what once, and jobs are matched to the workers who are actually qualified for them. A gas job never lands with someone who cannot legally touch it, and you keep the final say on every assignment.

Yes. Your booking page is open around the clock, so an agent raises the job when it crosses their desk instead of ringing you at seven in the morning, and it arrives with the property attached.

Yes. Jobs, photographs, notes and signatures are held against the customer and the job, so the history of a block or a portfolio is one search rather than an afternoon in an inbox.

Mostly. The rota month view and the details of an open job stay readable when signal drops, and a status change or a note queues on the phone and sends when the connection is back. Photos need a connection to upload.
