Arguments about callout charges almost never happen because you charged one. They happen because the customer didn't know about it until they saw the bill. The fix is not removing the charge — it's putting the words in front of the customer before you move.

Here are three versions of the exact wording, for each stage of the booking journey.

The booking page version

Put this on your website, booking form, or any online scheduler:

Call-out charge: £[X]
A call-out charge applies to all bookings. This covers travel and the first assessment on site. If you go ahead with the full job, the call-out charge is deducted from your final invoice. Payment is confirmed at booking.

Why it works: the phrase "deducted from your final invoice" removes the sting. The customer reads it as a deposit, not a penalty. The phrase "confirmed at booking" tells them the charge is settled — no surprise on the day.

The quote version

Add this block to every written quote you send before showing up:

Call-out charge: £[X] — due on the day of visit
This applies to all callouts regardless of whether the job proceeds. If you choose to go ahead with the work, the call-out charge is deducted from the total. Payment is expected before work begins.

The key phrase here is "regardless of whether the job proceeds." That sentence does more work than any verbal agreement. It's the line you point to when someone says "but you didn't do anything."

The phone booking version

When a customer books over the phone, say this before confirming the slot:

"Just so you know, there's a call-out charge of £[X] — that covers me getting to you and the initial assessment on site. If we go ahead with the full job, it comes off your final invoice. Does that work?"

Wait for a yes before confirming the booking. A verbal yes is a commitment. You're not asking permission — you're confirming agreement.

What to do when they argue anyway

They say "I didn't know about the charge."
Your response: "It was on the booking confirmation you received — here's a copy." If you don't have written confirmation, you can't enforce the charge. Start with written confirmation.

They say "but you didn't fix anything."
Your response: "The charge covers the callout and assessment, not the repair. That's what the quote was for." If your wording says "assessment," this argument ends there.

They want to negotiate it off.
Don't. A customer who argues about a £50 callout charge will argue about a £500 invoice. This is a filter, not a problem.

The digital version: take the charge before you arrive

The strongest version of a callout charge is one that's already settled by the time you knock on the door.
